Facilitation notes from the cross-org workflow intensive

The spring intensive mixed roles intentionally. Facilitators watched for vocabulary drift: the moment "sync" meant something different to adjacent columns on the board, we paused and wrote both definitions side by side.

Successful groups posted their RACI overlays early, even when incomplete. Late RACI diagrams correlated with rework in the final storyboards—not because of blame, but because invisible decision rights slowed merges.

We also observed that teams who photographed every whiteboard iteration narrated history better during the final presentation. Those groups rarely argued about who had agreed to what; they could scroll backward.

None of this requires proprietary tooling. The lesson is cultural: treat diagrams as versioned artifacts, not disposable sketches.
